Privacy Policy
ERSA has designed Website Version 2.0 around a limited-data, business-inquiry model.
1. Scope
This Privacy Policy explains how ERSA GROUP LLC (“ERSA,” “we,” “us,” or “our”) handles information associated with the public ERSA website and its direct business-inquiry pathway. It does not replace privacy terms contained in a separate contract, employment relationship, partner agreement, controlled portal, or other written arrangement.
2. Information you choose to provide
When you choose to email ERSA, you determine what information to include. A business inquiry may contain your name, organization, role or title, business email, phone number, region, desired timing, and the substance of your message.
Do not use the public website to send classified, export-controlled, privileged, regulated, personal-health, financial-account, government-identification, or other highly sensitive information.
3. Technical information
Like most hosted websites, the web server and hosting provider may create ordinary security and diagnostic logs. Those logs may include request time, requested page, network address, browser or device information, referring page, and error data according to the provider’s systems and retention practices.
The website does not operate a server-side inquiry handler. Selecting the email action asks your device or email application to begin a message; transmission then occurs through your email provider rather than through the ERSA website.
4. No analytics, advertising, or nonessential cookies at launch
ERSA does not operate third-party analytics, advertising pixels, session-recording tools, behavioral profiling, chat tracking, or nonessential cookies at the Website Version 2.0 launch. If that posture changes, ERSA will review the applicable notice and consent requirements before enabling the technology and will update this policy as appropriate.
5. How business inquiries are handled
The Begin a Conversation page provides a direct email pathway to ERSA’s controlled business mailbox. The website does not transmit the message, create a separate inquiry database, or send an automated response. Your email provider and ERSA’s email and security providers process the message, and the resulting email and later correspondence become business records within ERSA’s email and recordkeeping environment.
6. How ERSA uses information
- Review, qualify, route, and respond to a business inquiry
- Determine whether a matter fits ERSA’s capabilities, operating model, or strategic interests
- Protect the website, mailbox, users, and organization from misuse or security threats
- Maintain records relating to active or potential business relationships
- Comply with applicable law, enforce agreements, and protect legitimate rights and interests
7. Sharing
ERSA may disclose information to personnel and advisors who need it to evaluate or support the inquiry; to email, security, hosting, and professional-service providers acting for ERSA; when required by law or valid legal process; or when reasonably necessary to protect ERSA, another person, or the integrity of its systems. ERSA does not sell business-inquiry information or use it for cross-context behavioral advertising.
8. Retention
ERSA reviews the inquiry mailbox quarterly. Routine inactive inquiries are reviewed for deletion 12 months after the last substantive activity. Spam, malicious messages, and irrelevant solicitation may be deleted sooner. Active opportunities, established relationships, contractual records, tax and accounting records, insurance matters, legal or regulatory needs, security incidents, disputes, investigations, and legal holds may require longer retention. The 12-month period is an ERSA business-policy baseline rather than a statement that every inquiry must be retained for that period.
9. Security
ERSA uses measures intended to reduce unnecessary collection and limit public-web exposure, including a direct email pathway, restricted mailbox access, email-security controls, and no public website inquiry database. No internet transmission, mailbox, or storage system can be guaranteed completely secure.
10. Your choices and requests
You may choose not to email ERSA. To request access, correction, or deletion relating to a business inquiry, use the direct email pathway on the Begin a Conversation page and describe the request without including additional sensitive information. ERSA will evaluate the request in light of applicable law, identity-verification needs, and legitimate recordkeeping obligations.
11. Processing location and external users
ERSA is organized in the United States, and website information may be processed in the United States by ERSA and its service providers. Visitors outside the United States should submit information only after considering that processing location and any applicable organizational requirements.
12. Children
The website is intended for industrial, institutional, and professional audiences and is not directed to children. ERSA does not knowingly solicit personal information from children through the public website.
13. Changes
ERSA may update this policy when the website, services, legal requirements, or information practices change. The “last updated” date displayed on this page identifies the published version.
14. Contact pathway
Privacy questions and requests may be sent through the direct email pathway on the Begin a Conversation page. Use a clear subject line and do not include additional sensitive information unless a secure method has been agreed in advance.
